Unveiling cutting-edge process discovery tools

UiPath Business Automation Platform revolutionizes process optimization

In today's rapidly evolving business landscape, organizations are constantly seeking innovative ways to streamline their operations and maximize efficiency. In this blog post, we will explore the cutting-edge process discovery tools offered by UiPath – as part of the UiPath Business Automation Platform – which play a pivotal role in identifying areas for process improvement and/or automation. These tools empower businesses to uncover valuable insights and drive transformative changes.

UiPath Process Mining provides strategic insights by analyzing logs and data to visualize end-to-end processes, while UiPath Task Mining offers operational insights by capturing and analyzing user interactions during process execution. Task Capture simplifies process documentation, and Communications Mining enhances data models with insights from business interactions, such as emails. Automation Hub serves as a centralized platform for idea management and facilitates the end-to-end implementation and optimization of process enhancement initiatives.

Let's take a closer look at each tool and understand how they work together seamlessly:

Automation Hub is a centralized platform within the UiPath ecosystem that acts as the epicenter of an organization's automation program.

 - It enables the collection and management of ideas for process enhancement and task automation from various sources, including top-down process discovery solutions and bottom-up employee-driven initiatives. Ideas can be registered at different levels, ranging from individual employees to citizen developers and CoE (Center of Excellence) level.

 - In idea management CoE plays a vital role: selecting and prioritizing opportunities based on internal KPIs, ROI, and feasibility.

 - Automation Hub provides end-to-end traceability and monitoring, allowing organizations to track the progress of process development from the initial idea stage all the way to production, optimizing processes based on key metrics and ensuring continuous improvement.

 - It is also provide a searchable repository of planned and completed ideas' and improvements' documentation and associated reusable components.

Process Mining and Task Mining are often mixed up based on our experience. So let’s continue with a brief overview of the main differences:

 - Process Mining focuses on gaining a strategic-level view of end-to-end processes by analyzing server logs and data from database of various systems, visualizing the entire process flow, and identifying bottlenecks and areas for improvement.

 - Task Mining, on the other hand, offers an operational-level view by capturing and analyzing user interactions on their own computers during process execution, providing insights into how tasks are performed in real-time and helping to streamline task execution.

Process Mining inner workings involve several key stages.

 - Firstly, during the preparation stage, logs and data accumulate in the database during normal operation, serving as the foundation for process mining. Process mining tools can connect directly to data sources, including widely used systems like SAP, Oracle, and Salesforce, but can also work with custom applications where out-of-the-box connectors are not available.

 - The next step involves transferring the data to the process mining tool, where the event log becomes crucial. The event log contains information such as the case ID (identifying a specific process instance), activity (steps within the process), and timestamp. Based on this information, the tool visualizes the process graph, providing a clear overview of the process flow.

 - To gain deeper insights, it is important to have additional details such as usernames, countries, clients, or any other process-specific information. These details play a significant role in investigating interesting or unusual cases, enabling users to understand why a process deviates from the expected path and uncovering the reasons behind exception cases.

Process mining tools often come with a variety of out-of-the-box dashboards, but customization is also possible to meet specific needs.

Task mining involves capturing and analyzing user interactions on their computers during process execution, providing operational-level insights into task performance.

  • The process involves installing a small program on users' computers, which records their actions and interactions with different applications. Users have control over what the tool records: They can specify which applications should be included in the recording scope, have the ability to start, stop, or temporarily pause the recording. This level of control allows users to manage their privacy and choose when and where their interactions are being captured.

  • The recorded data (up to 7 workstations) is then uploaded to an AI module, which analyzes the data and generates visualizations and insights into how tasks are performed, allowing for process optimization and streamlining of task execution.

Task Capture is a user-friendly tool that records and documents the step-by-step actions performed on colleagues' computers, enabling efficient process documentation and knowledge transfer.

Communications Mining enables businesses to incorporate business communications, such as emails, into their data modeling, enriching the information gathered about processes. By analyzing these business interactions, Communications Mining provides deeper insights into processes, their efficiency, and the impact of communication on overall business operations.
